Sample Answer Letter Of Complaint (Formal Letter)

Dear Sir/Madam,

I am writing this letter of my dissatisfaction with the increase you made recently to the monthly payment of my Insurance Premium. I do not think the modification is reasonable, hence would like you to reevaluate it.

I have been operating my car insurance with your company for the last 6 years and my insurance policy number is 3417649083-634-1. My monthly premium is high as it is, even higher than that of some of my friends and families. The 30% increase in the monthly insurance payment that you have decided to input is not satisfactory, because I am already paying higher and I don’t think there is any other prominent insurance company that has raised their premium recently.

Raising the premium, especially at a time when there is a set back in the economy of the country, goes against the insurance holders’ interest. It would be appreciated if you could write back to me with a valid and genuine explanation as to why you need to input the increase when others have not done so. I would solicit that you rethink the decision, if not, I am afraid I will have to move my car insurance policy to another company with a lesser price.

I am looking forward to receive your reply as soon as possible.

Yours Faithfully,
Mia Sharon

Sample Letter Of Explanation (Informal Letter)

Dear Rohit,

Hope you and your family are in good health. I am writing this letter to inform you about a change in my plans to visit during this coming holiday.

This is because of the sudden demise of my Grandfather and Uncle due to a car accident. This unfortunate news was given to us last night and things have been a bit disorganised since we received the news.

I sincerely apologise for the change in plans but I am required to stay with my Uncle’s wife as she just put to bed a few months ago and isn’t in the right frame of mind to take care of the baby because of her husband’s death.

I would still love to visit you once the funeral is done and this situation blows over. So I suggest we move the visit towards the end of June that way, I will celebrate the 4th of July with you. If that sounds good let me know as soon as possible.

Looking forward to your response.

With love,
Geoff Dev.

Dear Sir,

I am writing this letter to bring to your notice that how the change that was made recently to the train movement has affected so many people.

I am a Personal Assistant and I work as an assistant for the Chief Editor at the City Publishing House. I live in 88 street,South Wall,Rome and regularly commute to my office using your train.

But sadly, the train I take to get to my office no longer stops at our station and as a result, I need to travel a few extra miles to reach the City Centre Station which is always congested in the morning hours, which makes me get to work late. I happen not to be the only one that has been affected by the sudden change in the train timetable even with the introduction of the new train schedule, the daily movement for employees like myself has become very difficult, and that makes your service unreliable. Because of this problem, many commuters arrive late to work. This situation is affecting their productivity, making them very upset with your service.

I believe the solution of this problem is that you revert to the previous schedule and organize the movement of more trains during the rush hours. If this would not be possible, then you can at least add more carriages to boost the space. There will be tremendous comfort for everyone that is affected if you can settle this problem as soon as possible.

Thank you and I hope to hear your reply soon.

Yours faithfully,
Patrick Don

I am writing this letter to make a complaint about my experience in your store last week.

I regularly visit your store and have never had any issues picking out what I need, which is great and means I get to buy what I want fast and vacate the store. But on this particular day, I was in a rush and needed to get an item but could not locate it. I then proceeded to ask one of the attendants for help but she snapped at me and asked that I search for it myself.

Feeling angry and awful could not describe my emotions at that moment. I also felt disrespected, as this scenario happened in front of few customers. It was embarrassing and I had to leave the store without buying anything. I would let this situation slide since it’s the first time it is happening.

I would like you to rectify this issue and train your staff to respect customers irrespective of the mood they are in. The scenario would have created a wrong impression in the heart of those that witness it, which would be bad for business if it’s spread around the community. Therefore several cautions need to be taken.

Looking forward to a better experience from you.

Yours faithfully,
Fizza.

Sample Answer

Dear Sir,
I am writing this letter to bring your attention to an unforeseen health issue which I have been facing since I assumed the job in the Headquarters.

I had been working at one of the town branches for the past two years, and it is just two months since I started my job as the Executive Assistance here at the Headquarters. After a month of my joining, I started having constant migraine which sometimes makes my eyes ache and I get dizzy spells too. Hence, I visited a doctor last week, and he confirmed that it is not just a feeling, that if I don’t reduce the amount of time I spend facing the computer system it could affect my eyesight.

My job requires me to spend much time typing, editing and making necessary corrections to document, coupled with the daily quota of research I am meant to make and write on. So I spend a large chunk of my day in front of a computer system and I think this might have caused this problem.

I settled to get glasses to help reduce the effect of the black light of the computer system on my eyes, but the migraine kept getting worse and the glasses didn’t help with the eye ache. It would be appreciated if you could reduce the number of hours I spend on the computer system for the main time for me to get a better solution to the issue, that way I would be able to work more effectively.

I look forward to a favourable reply from you.

Yours Faithfully,
Preeti Thakur.
